Modernization and Digital Transformation at Lydian

Illustration of the Lydian–Xerox collaboration in Belgium, representing digital transformation and modernization of printing infrastructure at the law firm.

About Lydian

Lydian, a full-service independent Belgian law firm founded in 2001, provides excellent legal services with a team of nearly 100 lawyers. To meet the demands of the digital age, Lydian undertook an ambitious digital transformation process in collaboration with D&O Partners. This strategic initiative aims to modernize the work environment and ensure continuity while maintaining data security.

Key Innovations

Cloud Printing for Efficient Workflows

Through the implementation of cloud printing, Lydian’s lawyers and staff can print from any location, significantly enhancing the flexibility and efficiency of workflows. Choosing a competent and reliable technology partner like D&O Partners was crucial in this process.

Challenges

Lydian faced several technological challenges that limited operational efficiency:

  • Obsolete equipment: The hardware no longer met the firm’s needs, impacting productivity.
  • Prolonged printing times: Print tasks took too long, disrupting workflows.
  • Data exchange between sites: The lack of connectivity limited collaboration between different sites.
  • Need to standardize processes: Varied configurations made it difficult to adopt a harmonized approach.
  • Permanent accessibility: Access to essential documents was restricted for employees on the move.
  • Connectivity with key programs: Integration with important software, such as OneDrive, was missing.
  • Cloud working: To modernize its infrastructure, Lydian needed to migrate to a more powerful cloud solution.

Implemented Solutions

To address these challenges, we implemented a series of tailored solutions in collaboration with Xerox:

1. Advanced Multifunction Printers (MFPs)

Installation of multiple Xerox AltaLink C8170 multifunction printers at various sites. These machines offer optimal security with features such as Secure Boot, Trellix ePO, and Cisco ISE. For the marketing department, a PrimeLink C9070 was installed for high-quality media.

2. Simplified Authentication and Accessibility

Implementation of a Single Sign-On (SSO) system, allowing employees to authenticate once for access to all applications. With Xerox Workplace Cloud, connected to Azure, transitioning between sites is seamless.

3. Enhanced Connectivity

Installation of connectors for integration with platforms such as iManage, simplifying document management and improving security and efficiency.

4. Premium Support via Xerox Production Print Services (XPPS)

A premium service contract (XPPS) with a dedicated contact person at D&O Partners, facilitating the management of requests and technical interventions. The machines automatically order spare parts and consumables.

5. Workplace Cloud

This cloud solution is location-independent. Thanks to the “Find Me” functionality, employees can authenticate with a badge on all network machines and access their personal configurations and documents.

Frequently asked questions

Who is Lydian and what was the goal of the project?

Lydian is a Belgian, independent full-service law firm, founded in 2001, bringing together nearly 100 lawyers. To meet the demands of the digital age, the firm carried out a digital transformation with D&O Partners aimed at modernising its working environment, ensuring continuity and securing data, with a cloud-first approach across its various sites.

What challenges did Lydian need to solve?

Several obstacles limited its efficiency: obsolete hardware, overly long print times, difficult data exchange between sites, disparate configurations to standardise, restricted document access for staff on the move, and the lack of integration with key tools like OneDrive. The challenge was to move to a higher-performing cloud infrastructure without service disruption.

Which Xerox devices were deployed, and with what security?

Several Xerox AltaLink C8170 multifunction devices were installed across the various sites, with advanced security features such as Secure Boot, Trellix ePO and Cisco ISE. For the marketing department, a PrimeLink C9070 was added to produce high-quality materials. The choice of models was aligned with each site’s actual usage.

How does a lawyer retrieve their documents from one site to another?

Thanks to Single Sign-On (SSO) connected to Azure, each employee authenticates once to access all applications, and moving between sites is seamless. The “Find Me” feature of Xerox Workplace Cloud allows authentication by badge on any machine on the network and retrieval of one’s own configurations and personal documents — real convenience for a multi-site firm.

How do documents integrate with the firm’s software?

Connectors were installed for integration with platforms such as iManage, simplifying document management and strengthening security and efficiency. The whole is accompanied by a premium service contract (XPPS) with a personal contact at D&O Partners and the automation of parts and consumable orders. The result: a modernised, secure infrastructure ready for future developments.
